Online booking for customers: no more back-and-forth
"When suits you?" "Tuesday afternoon?" "I can't on Tuesday, maybe Thursday?" "Thursday at 11 is taken, how about 3?" Four or five messages for a single meeting, and sometimes the customer gives up along the way. An online booking page turns all of that into one link: the customer sees your free times and picks one.
Who it's for
- Consultants, accountants, lawyers, estate agents — the first consultation or a viewing.
- Businesses selling to other businesses — a product demo, an introductory meeting.
- Repair shops and workshops — an assessment, an inspection, a hand-over.
- Sales teams — the qualifying call after a website enquiry.
It doesn't fit where every appointment needs a long conversation first: arrange those by phone and only send the link for rescheduling.
How to do it well
- One meeting type per page. "30-minute consultation" and "1-hour office visit" are two different pages with different durations.
- A break between meetings. 10–15 minutes, so you don't go straight from one customer to the next.
- Don't allow bookings five minutes ahead. A minimum of a few hours gives you time to prepare.
- Don't open your calendar three months ahead. Two or three weeks is enough. Further out, people forget and don't show up.
- Ask for a phone number. If they're running late or the meeting has to move, you can call them.
- Say what happens next. In the page description: where the meeting is, what to bring, how long it takes.
Where to put the link
- In your email signature: "Book a call".
- On your website, on the contact page or embedded right in the page.
- As a reply to an enquiry: "Pick a time that suits you here."
- In the chatbot's automatic message or in your Instagram profile.
- On Google Maps, in your business profile's booking link.
How to cut no-shows
No-shows drop sharply when the customer:
- gets confirmation straight away, with the time, place and an invitation for their own calendar;
- gets a reminder the day before — by email and, where possible, by SMS;
- can cancel themselves from a link (and pick another time if needed), instead of just not turning up.
A customer who cancels frees the slot for someone else. One who doesn't show up wastes it.
How to do it in Intrawebix CRM
- The page: in Settings → New leads → Booking pages, click New page: the name, duration, Start times every, Break between meetings, At least (hours) in advance, At most (days) ahead, and your working days and hours. Tick Customer phone number is required.
- Free times are worked out automatically: the page's schedule minus your meetings and calls in the CRM. With Google Calendar or Outlook connected in your Profile, busy times from your personal calendar are taken out too, without the CRM seeing any details.
- The link is copied from the page's card, or you embed the page on your website with the code shown there.
- When someone books, the time is checked again so two customers can't take the same slot. The customer is linked to their record by email or phone, otherwise they become a new lead. The meeting appears in the CRM and in your calendar, and you get a notification and an email.
- The customer gets an email confirmation with a calendar invitation and a cancellation link. With Email the customer a reminder the day before, they get the reminder too. If you use SMS, they get an SMS reminder as well.
- On holiday, untick Page is active.
Every colleague can make their own pages with their own schedule.
What to track
- How many bookings come through the link compared with those made by phone.
- How many don't show up. If it's a lot, increase the minimum notice or shorten how far ahead people can book.
- What they turn into. How many meetings lead to a quote and a sale.
Booking pages are included from the Business plan (see pricing); try them in the free 30-day trial, which has every feature.
